This message is sent on behalf of François Pouliot, Director Procurement Services and Robert Couvrette, Associate Vice-Principal Facilities Management and Ancillary Services
Â鶹AV Computer Store (MCS) and Procurement Services are pleased to announce that effective February 1, 2016, there will be a new requisition process for all orders from the MCS. The purpose of this email is to provide you with the details of the new process and to highlight the benefits for you - the purchaser.
The New Process
Implementation Date: February 1, 2016Ìý
You will see from the new process outlined below that the way you shop is not changing only the way youÌý place your order and pay for it is changing and improving; keeping in mind that going through MMP sets in motion an efficient back office process for approval and payment that you already subscribe to.
- Obtain a quotation (status quo): in-store (walk-in), by phone, by email
- Place your order:Ìý create a requisition on MMP →Ìý automatic BAVL (budget availability checking), approval by FFM/PI or their delegate and encumbrance onÌý FOAPAL
- Order Fulfilment: (status quo)Ìý order carried out or shippedÌý → as per current process
- Payment: (status quo) invoice is paid through IDC by MCS -> encumbrance on FOAPAL is released and expense is charged → funds are released to MCS → no action required on the part of the purchaser
Benefits of This New Process for Purchasing Goods from MCS
Compliance & Best Practice
- Approval of Fund Financial Manager/Principal Investigator (FFM/PI) or their Delegate prior to the fund being charged
Customer Service
- OneÌý repository location for all supporting documentation
- Ease of tracking orders
- Availability of reports and access to complete history of orders
Efficiency
- Cut back on time-consuming communications due to missing information, insufficient funds, invalid or terminated FOAPALs
