CCR General FAQ

What is a Co-Curricular Record (CCR)?

°Õ³ó±ðÌýCo-Curricular Record (CCR)Ìýis an official document that recognizes student involvement in eligible campus activities and enriched educational opportunities, and select scholarships and awards. The CCR serves as a companion piece to the academic transcript. It is a valuable toolÌýfor students to present to prospective employers and professional/graduate schools to highlight a student’s complete university experience.ÌýAny student currently registered (and recently graduated) at Â鶹AV canÌýÌýwith Â鶹AV credentials to view, customize, and print their CCR.

What is myInvolvement?

is a web-based tool designed to:

  • Showcase workshops, events and volunteer opportunities to current Â鶹AV students.
  • Allow students to search, register for, and record their participation in eligible out-of-classroom activities.
  • Help faculty, staff and student organizations advertise eligible activities, and report student involvement to stakeholders.
  • Provide students with a Co-Curricular Record (CCR) from Â鶹AV

What are the benefits of using the CCR?

There are many benefits to the CCR:

  • The CCR provides students with an official university-verified document of all their student involvement at Â鶹AV
  • The CCR is a greatÌýcomprehensive toolÌýto use when applyingÌýfor scholarships, bursaries, awards, graduate and professional schools or employment and volunteer opportunities
  • A CCR will enrich a student's meetings with key academic, support, and services staff at Â鶹AV. A CCRÌýwill offer these professionals a better understanding of how a student's background, skills, values and interests fit in with their future plans and decisions.
  • Co-curricular involvement (programming providing opportunities for students to actively engage in meaningful activitiesÌýoutside the classroom) is proven to help students develop career readiness by providing exposure to different work environments and professions, as well as opportunities to develop professionalism, skills, and self-knowledge.

Is the CCR mandatory?

No, the CCR is not mandatory for any student and it is not a requirement to graduate. However, it's a great tool for students (undergraduates and graduates) to use to help them keep track of all the opportunities they participate in outside of the classroom.

What services do the myInvolvement team offer?

We offer consultations with student groups and university units regarding CCR eligibility. Responses to student queries about their CCR.

  • Official data management service for co-curricular programs with:
    • Connections to Banner Student Information System (SIS)
    • Participation tracking with ID-card scanning (individual events and co-curriculum)
      • myInvolvement is the tracking tool for university-wide initiatives, such as SKILLS21 (led by Teaching and Learning Services) and the Individual Development Plan (Graduate and Postdoctoral Studies)
    • Centralized recordkeeping
    • Reporting of student participation trends

Is there a difference between an official CCR and an unofficial CCR?

´¡²ÔÌýOfficial CCRÌýis generally used when applying to graduate/professional programs, internships, grants or employment. It can only beÌýsent by a CCR Officer with the resourceÌý accountÌýmyInvolvement [at] mcgill.caÌýto the authoritative agencies indicated on the student’s application.Ìý

An unofficial CCRÌýis a version that students can access anytime on myInvolvement.ÌýIt presents a complete summary of a student’s participation in authorized co-curricular activities and self-reported experiences. It can be edited (i.e. students can hide elements for a shorter version) before sharing as desired.Ìý

Can volunteer activities that are not affiliated with Â鶹AV be recognized on the CCR?

Yes,ÌýÂ鶹AV students may record unverified experiences on their student-generated CCRs. This is a great way to keep track of your participation in opportunities that are not currently CCR-eligible. To submit a self-reported experience:Ìý

  1. Sign in to
  2. Click your first initial (or photo) in the top-right corner of the page.
  3. Click "Experiences".
  4. Click "Add Experience".
  5. Click "Student Self-Reported Experiences (NOT VERIFIED BY MCGILL UNIVERSITY)".
  6. Fill out the form and press "Submit".

Experiences are normally approved within two business days.

Who can I contact for assistance with the CCR?

How do I submit new workshop opportunities for CCR recognition?

To have a new workshop recognized on the CCR, staff and students must first ensure the opportunity meetsÌýthe CCR'sÌýEligibility Guidelines. If the opportunity is CCR eligible, staff must complete the . If you're a student leader, you must complete a . Upon completing the form, within 24-48 hours, you will receive a response from the myInvolvement team, letting you know if your opportunity has been approved or not. We ask that staff and student leaders submit their form(s) for approval in advance of the event. Once the event has been approved, staff and students may create an event submission for the workshop on myInvolvement.Ìý

If the workshop isÌýnotÌýCCR eligible, do not complete a form. Please contactÌýmyinvolvement [at] mcgill.caÌýand ask if you can still advertise the event on myInvolvement. Additionally, please inform volunteers that if theyÌýwant recognition for attending the workshop, they canÌýuse theÌýStudents Self-Reported ExperiencesÌýoption to keep track of their own participation.ÌýStaff and student organizations do not need to complete any forms for the Students' Self-Reported Experiences option.

How do I submit new volunteer opportunities for CCR recognition?Ìý

If the opportunity is CCR eligible, staff must complete a . If you're a student leader, you must complete aÌý. If the volunteer opportunity is not CCR eligible, do not complete the form. Staff and student organizations do not need to complete any forms for the Students' Self-Reported Experiences option.

Do other post-secondary institutions have Co-Curricular Records?Ìý

Yes, they do. Â鶹AV is one of over 80 Canadian universities and colleges that have launched or are developing co-curricular recognition programs, including our peer research-intensive universities in Québec and across the country. We are a member of the Co-Curricular Records Community of Practice at the and we follow the Canadian CCR Standards and Guidelines.

What is a self-reported experience?

Self-Reported experiences are aren't currently recognized on the CCR. This is a great way for students keep track of their participation in opportunities that are not currently CCR-eligible. To submit an self-reported experience:

  1. Sign in to .
  2. Click your first initial (or photo) in the top-right corner of the page.
  3. Click "Experiences".
  4. Click "Add Experience".
  5. Click "Student Self-Reported Experiences (NOT VERIFIED BY MCGILL UNIVERSITY)".
  6. Fill out the form and press "Submit".
  7. Experiences are normally approved within two business days.

CCR FAQ for Students

How to register a student organization on myInvolvement?

Students can register their organizations on myInvolvement fromÌýAugust 1stÌýtoÌýFebruary 1stÌýof each academic year. During this time, a registration link will appear on theÌýStudent GroupsÌýwebpage for all student organizations (undergraduate and graduate) to use. All student organizations will also receive a confirmation email from the myInvolvement team once they have successfully registered on the platform.ÌýAfter February 1, student organization registration is closed until the following academic year. If student organizations want to be notified about registration for the next academic year, they must contactÌýmyinvolvement [at] mcgill.caÌýfor additional information.Ìý

How to download my Co-Curricular Record?

To view, customize, and print your CCR:

  1. Sign in to
  2. Click your first initial (or photo) in the top-right corner.
  3. Click "Co-Curricular Record."

Press the "Save" button located in the top right-hand corner.

As a SSMU independent student group, what is the procedure to have our group to be recognized for CCR?

Please contact myinvolvement [at] mcgill.ca for additional information. Be sure to include the following information in your response:

  • Official Organization Name
  • Brief summary of the organization
  • An updated copy of your organization's constitution

I completed a volunteer activity and would like it to be recognized. What is the procedure?

Students must first confirm the opportunity they are seeking validation approval for meets the CCR'sÌýEligibility Guidelines.ÌýIf the opportunity is CCR eligible, students should contact the myInvolvement team atÌýmyInvolvement [at] mcgill.caÌýfor further instructions.ÌýStudents must provide the following information in their request: 1) the name of the opportunity; 2) the name(s) of the Â鶹AV staff, faculty or recognized student organization(s) that oversaw the opportunity; 3) the start- and end dates of the opportunity.

If the opportunity isÌýnotÌýCCR eligible, students can use theÌýStudents Self-Reported ExperiencesÌýoption to keep track of their participation in opportunities are not currently CCR eligible.

Can activities be added retroactively to a student's CCR?

Yes, but students can only receive recognition for opportunities that occurred within the lastÌýtwo years. Any opportunities that are older than two years will not be accepted and recognized on the CCR.Ìý

How do I get old activities recognized on the CCR?

Students must first confirm the opportunity they are seeking validation approval for meets the CCR'sÌýEligibility Guidelines. If the opportunity is CCR eligible, the student must then contactÌýthe designated Â鶹AV staff, faculty or recognized student organization that oversaw the opportunity and ask them to contact the myInvolvement team on their behalf, stating the student participated in this opportunity and would like to obtain CCR recognition for it. The designated staff or student organization must also include the following information in their response:

  1. The full name and Â鶹AV email of the student
  2. The name of the opportunity
  3. A summary of the student's roles and duties
  4. The start- and end dates of the opportunity (mm/dd/year)
  5. Total volunteer hours (optional)

How to ask for a CCR verifier to be listed on my graduate school or job application?

Send an email request to the myInvolvement team atÌýmyinvolvement [at] mcgill.caÌýfrom your Â鶹AV email addressÌýbeforeÌýlisting usÌýon your application. You must include the names of all the institutions and/or companies you are applying to. Please note that the myInvolvement team cannot verify student self-reported experiences that appear on your CCR.

How do recently graduated students access their CCR?ÌýÌý

For graduates to view, customize, and print their CCR:

  1. Sign in to
  2. Click your first initial (or photo) in the top-right corner.
  3. Click "Co-Curricular Record"

Are all of my extra-curricular activities automatically added to my CCR?

No. It is the responsibility of the Â鶹AV staff, faculty or recognized student organization that oversee/manage any volunteer opportunities to ensure that all of their student volunteers receive CCR recognition.

My internship/volunteer activity is funded by my faculty, how do I get it recognized on the CCR?

You should contact your faculty and ask them to contact the myInvolvement team to determine if the internship/volunteer activity can be recognized on the CCR.Ìý

Note:ÌýUsually, most internship opportunities that are recognized on the CCR are recognized under the Enriched Education Opportunity (EEO) section. EEOs have different eligibility guidelines than other CCR opportunities. For more information on EEOs, please consult ourÌý.

Where do I send a list of volunteers or workshop attendees in order for students to receive CCR recognition?

You can submit the list of volunteers to us by completing theÌý. This form is accessible to both staff, faculty and student organizations. Please note that you must sign in with your Â鶹AV credentials to access the form.

I attended a workshop that is CCR eligible, but the workshop hasn’t appeared on my CCR. What do I do?

Yes, students can modify the layout of their unofficial CCR. It's often recommendedÌýthat students modify their CCRs to make them more personalized when they are applying to jobs, internships, graduate schools and so forth.Ìý

To edit your CCR:ÌýÌý

  1. Sign in to
  2. Click your first initial (or photo) in the top-right corner.
  3. Click "Co-Curricular Record."
  4. Select "Change Layout" located in the top right-hand corner.

From here, students can select the order of different involvement opportunities they want to appear on their CCR. Students can also choose to "hide" any opportunities they don't want to appear on their CCRs. For more information, please consult the Engage article onÌý.Ìý

I attended a workshop that is CCR eligible, but the workshop hasn’t appeared on my CCR. What do I do?

It will take time for the workshop to appear on your CCR. Please wait at least 1 month for the opportunity to appear. If it’s been over one month and the opportunity still hasn’t appeared on your CCR, you should contact the coordinating unit or department that hosted the workshop, and ask them to contact the myInvolvement team at myinvolvement [at] mcgill.ca for more information.

I'm a Â鶹AV student and I want recognition on my CCR for something I did outside the classroom. Can students add their own experiences on the CCR?

Â鶹AV students may record unverified experiences on their student-generated CCRs. This is a great way to keep track of your participation in opportunities that are not currently CCR-eligible. To submit an self-reported experience:

Participation in recognized CCR experiences is submitted to us directly by Â鶹AV staff/faculty who oversee these opportunities or by student leaders (association or club executives).
