What is theÌýCo-Curricular Record (CCR)?

The Â鶹AVÌýCo-Curricular Record (CCR) is a document that recognizes a student's involvement in learning opportunities outside the classroom.

Any student currently registered at Â鶹AV canÌýÌýwith Â鶹AV credentials to view, customize, and print their CCR.ÌýStudents can alsoÌýÌýbe sent to a potential employer or educational institution.Ìý

The CCR can be a useful addition to your CV/resume or graduate/professional school applications.ÌýÂ鶹AV's CCR is composed of five sectionsÌý- to view a sample CCR, please consult our Sample Co-Curricular Record.Ìý

Getting an Internship Recognized on your CCR

The Arts Internship Office (AIO) is onlyÌýable to give approval for the third section:ÌýEnriched Educational OpportunitiesÌý(non-credit, experiential opportunities approved by Faculties).Ìý

Enriched Educational Opportunities (EEOs) are high quality mobility or work experience opportunities that take place outside of the classroom; they foster self-development and can help students transition successfully to the workplace or graduate studies.ÌýEligibility Criteria for Faculty of Arts Internships

The Faculty of Arts Internship Office will determine which EEO opportunities shall be eligible to be recognized as an EEO on the Co-Curricular Record (CCR). These may include unpaid (or insufficiently paid to cover cost outlay) internships and research internship opportunities, depending on faculty-based priorities. They may be in-person or remote, local (off-campus and not at Â鶹AV-affiliated offices) within Canada or abroad.

    Faculty of Arts Student eligibilityÌýis determined as follows:

    • All steps should be completed well in advance of the start of your internship. No approval will be granted after you have started your internship.
    • Be enrolled in an undergraduate Faculty of Arts degree (B.A., B.A & Sc., BSW, B.Th.) and be returning to the Faculty of Arts in the same program the semester following your internship.
    • Please note the Arts Internship Office will not support fee based and third-party internship opportunities:Ìýsee IneligibilityÌýcriteria listed here.
    • Once the internship is completed, have proof of such of completion sent to aio [at] mcgill.ca.

    Please note that internship hours during the Fall or Winter semester should normally be around 150 hours, 10-15 hours per week (maximum of 20 hours). Students who choose to do an internship during Fall/Winter semester, are encouraged to meet with an Arts Advisor prior to start of internship, to help better plan academic terms and ensure the internship does not interfere with your academic study.

    Steps to apply for a Co-Curricular Record (CCR) Approval Letter

    Please note: All steps should be completed well in advance of the start of your internship.
    No approval will be granted after you have started your internship.

    1. Check if the internship meets the requirements:Ìý

      An internship is a short-term, hands-on, supervised work experience with a professional organization. It provides the student with an invaluable opportunity to apply the skills and knowledge acquired in the classroom to real world problems and enables the student to broaden his or her understanding of the field.ÌýAn internship is more than a part-time job or volunteer experience; it includes:

    • Specific learning objectives designed to increase the student’s knowledge
    • Training to hone existing skills and develop additional ones
    • Supervision to guide and mentor the intern
    • Through their internship, the student is able both to expand their horizons and to engage in a meaningful collaboration with their corporate or community organization for their mutual benefit.

    1. Obtain a written confirmation of your internship from your host organization.
      • The written confirmation mustÌýincludeÌýlearning goals and outcomes, mentorship plan, hours per week, start and end date, and remuneration. If done in letter format, it must be signed by your host organization. If done by screenshot of email conversation, it must clearly show the sender, the recipient, and the date the email was sent.
    2. Submit an application for a Co-Curricular RecordÌý(CCR)Ìýapproval letter for your internship via this web form:Ìý Ìý

    3. The Arts Internship Office will review, and prepare a CCRÌýapproval letter for you. The letter will indicate your internship has been approved by the Faculty of Arts.

    4. Read the Interns HandbookÌý(General Resources->Handbook).

    5. Within two weeks of the completion of the internship, the student emails aÌýcompletion letterÌýfrom their internship supervisor attesting to the successful completion of their internshipÌýto the Arts Internship Office.ÌýThe letter must include the duration of the internship as well as the tasks performed.       • The letter can be emailed directly from your internship supervisor or if sent via the student,Ìýit must be signed by the host organization. If done by email, theÌýconversation must clearly show the sender, the recipient, and the date the email was sent.

    6. ÌýOnce your completion letter has been received,Ìýyour internship will appear on your Co-Curricular Record.
