Verification of Graduation

Purpose

The purpose of verification is to ensure the accuracy of all student information. This includes program and course information, as well as personal information such as mailing and home addresses. Students are responsible for ensuring that all information on their record is accurate.

All graduating students must see a departmental advisor at this time to verify that all the program requirements have been met. A helpful Minerva tool to use in this process is Degree Evaluation.

Any questions or problems with your record should be reported to the Student Affairs Office.

Verification Conditions

  • All graduating students must verify the following:
  • Applied for graduation upon registration in the final term on MINERVA. Only those students in their last two(2) semesters will be coded as a Year 3 and eligible to apply for graduation on MINERVA. If you are unable to apply for graduation, contact the Student Affairs Office immediately.
  • All Year 3 students who are in their graduating year must select one of the following terms on MINERVA:
    • Graduation term of Fall 2024(February 2025) if all courses are completed and graded by December 2024.
    • Graduation term of Winter 2025(June 2025) if all courses are completed and graded by April 2025.
    • Graduation term of Summer 2025(November 2025) if all courses are completed and graded by August 2025.
  • Verify eligibility for graduation with a departmental advisor ensuring all program requirements will be met by graduation time.
  • Achieve a minimum CGPA 2.00.
  • Verify that graduation term is indicated on your unofficial transcript.
  • If taking courses outside 鶹AV to satisfy degree requirements, ensure an official transcript is sent from the HOST University to the Engineering Student Affairs Office. The following deadlines must be respected: - January 15th for Fall Term graduation. - May 5th for Winter Term graduation; - September 1st for Summer Term graduation.
  • Verify name appearing on MINERVA is correct;
  • Verify mailing address, including postal code, is correct;
  • Verify home address, if different from mailing address, is correct;
  • Verify phone number is correct;
  • If a HOLD appears on your record, verify with the Student Affairs Office immediately;
  • Verify admission statement (basis of admission) is correct;
  • Verify courses, numbers and grades are listed correctly;
  • Verify program information is up-to-date: degree, program, minor, option;
  • Verify advanced credits and exemptions are correct (if applicable);

Student Graduation Approval Query

This MINERVA form displays your Graduation record at 鶹AV during the graduation approval process and will indicate if you have been approved by your Faculty for graduation.The Graduation Approval Query form becomes available to graduating students approximately four to six weeks before the Degree Granted notation is updated and appearing on students’ records.

As a graduating student, you can view the status of your graduation record on MINERVA during the Faculty review and approval process (go to Student Records > Graduation Approval Query) once it opens.NOTE: If you check your Minerva Graduation Approval Query prior to the date it opens, you will receive a message stating that your record is not active – this is no reason for concern as long as your unofficial Minerva transcript displays the correct term of graduation (top-right hand side).

The Graduation Approval process is a three-step one. Your Departmental Advisors will review your record for the completion of your program requirements, and an SAO Faculty Advisor in MESC will review your record for the completion of your degree requirements. You will be contacted via your 鶹AV email account during the graduation review period, should any problems arise. Please check your 鶹AV email regularly during this period to avoid a delay in your graduation. Once your departmental and faculty graduation requirements have been met and final grades successfully completed in your last term, the graduation module on MINERVA will be updated to indicate "Approved". Your MINERVA transcript will then be updated to indicate that your degree has been awarded, however only after the university's Senate Committee has approved the list of graduating students. You will receive your diploma at the convocation ceremony that corresponds to your term of graduation.

If you have met all requirements for graduation, please note your Graduation Approval status will remain “Pending” until Senate meets to approve degrees, and your student record on MINERVA will display the Degree Granted notation at the appropriate time:

  • Late February, for Fall term graduation (Convocation in Spring)
  • Late May, for Winter term graduation (Convocation in Spring)
  • Late October, for Summer term graduation (Convocation in Fall)

Degree Evaluation

Degree Evaluation is an on-line tool to help students and their advisers compare the student's academic record to the requirements of a specific program so they can review what’s been completed and what remains to be completed in a student’s program. Degree Evaluation is intended to be an advising tool and is not a substitute for a manual review of a student’s record with their departmental advisor.

Dean's Honour List and Distinctions

Dean's Honour List

If you are graduating with an undergraduate degree, you may be awarded the designation Dean's Honour List under the following conditions:

  1. you have completed a minimum of 60 鶹AV credits towards your degree; and
  2. you are in the top 10% of the faculty's graduating class of students; this calculation is based on the CGPA.

Note for transfer students:
this designation may be withdrawn if your CGPA at another university or in another faculty at 鶹AV is not comparable to the CGPA earned in your graduating faculty.

Distinction

If you are graduating with an undergraduate degree, you may be awarded the designation Distinction under the following condi­tions:

  1. you have completed a minimum of 60 鶹AV credits towards your degree; and
  2. you are in the top 25%, but below the top 10%, of your faculty's graduating class of students; this calculation is based on the CGPA.

Note for transfer students:
this designation may be withdrawn if your CGPA at another university or in another faculty at 鶹AV is not comparable to the CGPA earned in your graduating faculty.

Convocation Ceremony

Information pertaining to the convocation ceremonies can be obtained from the 鶹AV Secretariat convocation web site, and the Convocation website. Convocation ceremonies at 鶹AV are held at the end of May or first week of June, and in the fall.
