Guidelines and Procedures for Vacation & Leaves

LeaveÌýRequest Instructions:
- All requests must be submitted in writing to the General Surgery Program Office either by e-mail at generalsurgery.med [at] mcgill.ca or via the Leave Request Form, including requests for leave during rural rotations and while residents are on research
- Requests will be approved on a first come basis
- Only 1 senior resident should be away at any one time on a given call schedule. This may vary depending on the total number of seniors across services on the same call schedule.
- Residents are not expected to be available for on-call duties on the weekends preceding or following vacation. This is not the case for other types of leave (study, conference, banked statutory holidays, etc).
- Junior leaves will be processed by the Surgical Foundations (SF) coordinator. Junior leaves can be submitted via the SF website
R5 Year
The R5 vacation allotment (20 days) will be used in P10 unless the resident requests to be scheduled to a clinical rotation in P10, in which case the resident mayÌýschedule their 20 days of vacation throughout the year. R5s who would like to have P10 off and take additional vacation during the year must carry forward vacation from their R4 year. Similarly, the R5 study leave allotment (10Ìýdays) is used in P11-P12 of the R5 year, additional days must be carried forward.
Sick Leave
If you are unable to report for clinical duties due to illness you must contact your staff, the senior or chief resident, and the Program Administrator’s office. No exceptions.Ìý
Leave Policy for Rotation Changes
Please note that residents whose rotation change requests are approved during a period in which they have already submitted a leave requestÌýwill lose their leave priorityÌýon the new service. The leave requested will be resubmitted by our teaching office to the CTU director of the new rotation and processed again. This means that if you have an approved leave on a service and you request a rotation change from that service, you risk losing the previously approved leave.
